We are currently recruiting for an Executive Director Senior Personal Assistant to join the Digital Services Team (Digital Business Engagement: Digital Exec Support). This is a fantastic opportunity to play a key role within the Senior Leadership Team, providing high-level executive support and ensuring the smooth running of business operations.
The Role As an Executive Director Senior Personal Assistant, you will provide a confidential, professional, and highly efficient service to the Executive Directors. You will be responsible for complex diary management, preparing briefing materials, managing correspondence, and coordinating key meetings and projects.
You will also play an important role in supervising and supporting Director Personal Assistants or Business Support Officers, ensuring workloads are managed effectively and service objectives are achieved.
This is a dynamic role that requires excellent organisational skills, attention to detail, and the ability to build strong relationships with senior leaders, staff, and external stakeholders.

Key Responsibilities
- Act as the first point of contact for the Executive Directors, handling correspondence and phone calls.
- Proactively manage diaries, prioritising and arranging meetings, ensuring appropriate briefing papers are provided.
- Coordinate SLT meetings and other key projects, including agenda planning, accurate minute-taking, and maintaining action logs.
- Oversee meeting arrangements, including liaising with external partners and facilities.
- Provide leadership and guidance to Director PAs and/or Business Support Officers, including performance management and delegation of tasks.
- Maintain effective filing and data storage systems.
- Anticipate and resolve problems, escalating where necessary.
- Ensure the VIP Function runs effectively and in line with procedures.
- Previous experience as a Personal Assistant to a Director or Senior Leader, including diary management and minute-taking.
- Experience managing or supervising a small team.
- Excellent working knowledge of Microsoft Office (Outlook, PowerPoint, Word, Excel).
- Strong organisational skills, with the ability to manage multiple tasks with accuracy and attention to detail.
- Excellent interpersonal and communication skills, able to build relationships with staff and stakeholders at all levels.
