Senior Business Support Officer

Salary: £16.62 Per hour (Umbrella)
Location: Glenfield, Leicestershire
Client: Leicestershire County Council – Children and Family Services
Contract Type: Temporary (3 months)
Hours: Full time – 37 hours per week
About the Role: The Senior business Support officer will provide efficient and effective clerical, administrative, and database support to Children and Family Services. This role is a key point of contact for staff, elected members, partner agencies, and the public, ensuring smooth communication and administrative processes across the department. Flexibility, teamwork, and confidentiality are essential, as is the ability to adapt to a wide variety of clerical and support tasks.

Key Responsibilities
  • Accurately enter and maintain data on database systems, ensuring quality and timely input.
  • Produce a range of documents including reports, correspondence, and records using word processing and database systems.
  • Maintain diaries, arrange meetings, book rooms, and manage filing systems.
  • Liaise with staff, partner agencies, schools, courts, solicitors, and voluntary/community organisations as directed.
  • Handle incoming and outgoing mail, emails, telephone calls, and visitors.
  • Assist in organising service and training events, including minute-taking and producing newsletters.
  • Maintain supplies through I-procurement, order goods, and check deliveries.
  • Log IT/telephony support requests and maintain inventories of ICT equipment and resources.
  • Process referrals, reports, notifications, court lists, and bail packages to and from Court.
  • Support financial processes including petty cash, invoices, and delivery note matching.
  • Provide cover on the duty rota for generic email inboxes and shared admin tasks.
  • Collate and record statistical information and support monitoring processes.
  • Maintain staff absence, leave, mileage records, and resource libraries.
  • Provide cover for colleagues across different office bases when required.
  • Ensure confidentiality in line with GDPR and the Data Protection Act.
  • Support compliance with Health & Safety, equality, and quality management procedures.
  • Undertake any other clerical duties commensurate with the role.
Experience & Knowledge
Essential:
  • Experience in the line management of staff.
  • Experience in organising team workloads, ensuring that strict statutory timescales are met.
  • Recent clerical, typing, and database experience in an office environment.
  • Experience using Microsoft Word, Excel, and other MS Office applications.
  • Experience working as part of a team.
  • Experience maintaining filing and record systems.
  • Knowledge of confidentiality requirements and data protection legislation.
  • Good literacy and numeracy skills for producing accurate written material and statistical returns.
Desirable:
  • Previous experience within Children and Family Services.
  • Knowledge of Leicestershire County Council services.
  • Familiarity with Ofsted inspections and requirements for Children and Family Services.
  • Experience in a large organisation, reception duties, and dealing with public enquiries.
Skills & Competencies
  • Strong verbal and written communication skills.
  • Good organisational skills with the ability to prioritise and meet deadlines.
  • Attention to detail and accuracy in clerical tasks and record-keeping.
  • Strong IT skills, including database management and statistical analysis.
  • Ability to handle sensitive and confidential matters appropriately.
  • Customer-focused with excellent interpersonal skills.
  • Team-oriented with flexibility to support colleagues.
  • Ability to work independently and proactively.
Additional Requirements
  • NVQ Level 2 (or equivalent) in literacy and numeracy.
  • Flexibility to work outside normal working hours when required.

  • May require Police checks due to work with partner agencies and sensitive data.
